Production Coordinator
Turn plans into organized action (timelines, vendors, show docs) so show day runs smooth.
The Role
You’re the calm center of pre-production. You own schedules, comms, vendor logistics, and the last-mile documents that make delivery feel effortless. On live days, you support rehearsals and backstage flow so presenters and the program stay on message.
What You’ll Do
- Own the plan: build and maintain timelines, milestones, and call sheets; track dependencies and risks.
- Vendor coordination: POs, confirmations, travel/shipping details, onsite needs, credential lists.
- Show documentation: run-of-show updates, cue sheets, signage lists, channel plans, contact sheets.
- Presenter/content flow: collect decks/videos, file-naming/version control, playback notes, walk-ins.
- Comms & meetings: agendas, notes, action items, follow-ups, and recap emails that move work forward.
- Rehearsals & show support: timekeeping, cue tracking, backstage comms; jump in where needed.
- Quality & compliance: checklists, show packet accuracy, safety brief alignment, post-show debrief notes.
What You Bring
- 2–4+ years in events/production coordination or strong project coordination background.
- Excellent written communication; clear, concise, and client-ready.
- High detail orientation; you love checklists and closing loops.
- Comfortable with AV basics (you don’t need to be an engineer, but you can speak the language).
- Calm under pressure; proactive problem-solver with a service mindset.

Production Assistant
Learn the craft. Keep the show moving.
The Role
You’re the hands-on support that keeps pre-production moving and show days calm. You assist producers and coordinators with schedules, file wrangling, vendor logistics, and backstage flow, helping turn plans into precise execution.
What You’ll Do
- Prep show docs: update run-of-show, cue sheets, contact lists, signage/credential lists.
- Manage assets: collect decks/videos, confirm formats, name files, organize playback folders.
- Support logistics: vendor confirmations, shipping labels, gear checklists, print packs.
- Backstage support: time presenters, relay cues, manage comms, keep green room on schedule.
- Room readiness: table tents, mic flags, confidence monitors, stage/lectern details.
- Note-taking & follow-ups: track action items, deadlines, and status updates after meetings.
- Show-day assists: registration/tabletops, walk-in looks, music playlists, last-minute runs.
- Sustainability & safety: follow briefings, tidy cable runs, support smart pack-in/pack-out.
What You Bring
- 0–2+ years in events/production or strong admin/project support experience.
- Organized, detail-forward, and proactive; clear written and verbal communication.
- Comfort with basic AV terms; willing to learn playback, comms, and show documents.
- Calm under pressure; reliable, punctual, and client-facing professionalism.
- Ability to be on your feet during show calls; lift/carry light items as needed.

Executives + Presenters
Template, organize, and finish show content so presenters look great and cues land perfectly.
The Role
You’re the hub for all show content. You don’t have to originate creative; instead, you template, edit, version, and finalize decks, video files, graphics packages, lower-thirds, and playback assets so everything is on-brand, error-free, and ready on time. You partner with producers, designers, and engineers to turn content requests into clean deliverables for rehearsal and show day.
What You’ll Do
- Own the content pipeline: intake, file naming, version control, approvals, and final delivery.
- Template decks and show graphics to brand guidelines (titles, agendas, lower-thirds, bumpers, walk-ins).
- Edit/format presenter slides (fonts, contrast, accessibility basics, embedded media checks).
- Light video edits: trims, slates, transcodes, loudness/levels; export to show-ready specs.
- Build playback folders & run order: slate files, backups, emergency stills, and rehearsal pulls.
- Coordinate with designers/editors; track requests, feedback, and deadlines across teams.
- QC every asset: spelling, logos, aspect ratios, codecs, captions, and audio peaks.
- Support rehearsals: load content to machines, update last-minute fixes, and log changes.
- Post-show deliverables: export selects, VOD packages, archive & metadata for reuse.
What You Bring
- 2–4+ years managing content for live events, broadcast, or creative ops (or strong equivalent).
- Sharp eye for typography, layout, and brand consistency; meticulous file hygiene.
- Comfort translating requests into templates and checklists; proactive communication.
- Working knowledge of common codecs, frame rates, and presentation pitfalls.
- Calm under pressure; you thrive on deadlines and last-minute revisions.
