Redferno All-Hands Roadshow

Client

Redfin

Summary

Redferno is Redfin’s annual all-hands conference, and for the third year TEP was involved in producing this high-scale internal event for 5,000+ total attendees. In 2023, Redferno expanded into an ambitious 4-city / 4-day roadshow (Washington, DC; New Orleans; Palm Springs; and Seattle) requiring a travel-heavy, time-compressed production model with zero margin for error.

Over five months of planning, TEP coordinated the audiovisual program end-to-end, selected and aligned the partner vendor Staging Techniques, and built what became the most extensive documentation system in company history. The result was a tightly orchestrated roadshow with consistent execution across venues, cities, crews, and content—supported by recording and livestream delivery.

Goals

  • Deliver a consistent, high-quality all-hands experience across four cities in four consecutive days.
  • Orchestrate a super-tight schedule with reliable load-ins, show operation, and strikes across time zones.
  • Maintain tight control of content, cueing, and presenter flow to reduce risk in a fast-moving program.
  • Build a documentation and communication system capable of scaling across venues, crews, and stakeholders.
  • Capture and distribute the experience through recordings and livestream support.

Our Role

TEP served as production management partner for Redferno 2023, coordinating all aspects of the audiovisual program across the 4-city roadshow. We selected and managed alignment with the partner vendor Staging Techniques, built and maintained the run-of-show framework across all cities, and led content intake and quality control through structured asset lists. Our team produced the comprehensive documentation that made the schedule executable, including venue advance materials, ground plans, multi-layered production schedules, and presenter travel tracking—supporting consistent execution across every stop of the tour.
