Summary
The Immunization Summit is an important conference connecting medical professionals across Washington State, bringing critical information, collaboration, and public health leadership into one shared space. TEP partnered with WithinReach to deliver a professional hybrid event experience at the Greater Tacoma Convention Center—supporting both the in-room audience and remote participants with reliable lighting, audio, and video systems.
Working alongside SparkWood Events and venue partners, TEP helped ensure the program ran smoothly, presenters felt supported, and the hybrid production remained confident from first cue through final wrap.
Goals
- Deliver a reliable hybrid event experience that supported both in-room and remote audiences.
- Ensure clear intelligibility and consistent audio coverage for speakers and panel moments.
- Provide strong lighting and video systems that kept presenters looking and sounding professional on stream.
- Maintain smooth pacing and transitions to support a content-rich conference agenda.
- Coordinate effectively with venue and partner teams to reduce risk and ensure seamless execution.
Our Role
TEP served as AV production partner for the Immunization Summit, delivering technical systems and onsite execution to support the hybrid conference format. Our team provided lighting, audio, and video support, coordinated with partner teams and the venue, and operated the event onsite to ensure a stable, high-quality experience for attendees and viewers.
